Data Inventory

We collect the following categories of personal data:

  • Contact information: name, phone number, email address, zip code, and mailing/service address.
  • Service details: property type, service interest, zone count, gate code, pet information, access instructions, and preferred service times.
  • Marketing preferences: SMS consent, email marketing consent, and referral source.
  • Consent metadata: IP address, user agent, and consent language version captured at the time of consent.
  • Payment information: payment method details processed and stored by Stripe (we do not store card numbers on our servers).
  • Usage data: pages visited, time on site, device information, browser type, and referring URLs collected via cookies and analytics tools.
  • UTM tracking data: marketing campaign attribution parameters from URL query strings.
  • Chat data: messages exchanged with our AI chatbot.

Third-Party Disclosures

We share personal data with the following third-party service providers, each for a specific business purpose:

  • Stripe — processes subscription payments, stores payment method details, and manages customer billing portals. Stripe's privacy policy governs their handling of your payment data.
  • Twilio — delivers transactional and informational SMS/text messages to customers who have opted in. Twilio processes your phone number and message content.
  • Resend — delivers transactional and marketing email communications including appointment confirmations, renewal reminders, and promotional offers.
  • Google Analytics 4 — collects anonymized website usage data including page views, session duration, device information, and conversion events to help us improve our website and marketing.
  • OpenAI — powers our AI chatbot to answer customer questions. Chat messages are sent to OpenAI for processing. OpenAI's data usage policies apply to chatbot interactions.

We do not sell your personal information to third parties.

Data Retention

  • Lead form submissions: retained for 3 years from the date of submission, or until you request deletion.
  • Customer account and subscription data: retained for the duration of the subscription plus 3 years after cancellation for tax and legal compliance.
  • Consent records: retained for 5 years from the date of consent for TCPA compliance and audit purposes.
  • Payment records: retained by Stripe per their data retention policies; we retain transaction references for 7 years for tax purposes.
  • Analytics data: retained per Google Analytics 4 default retention settings (14 months).
  • Chat data: retained for 1 year from the date of the conversation.

Payment Information Handling

All payment processing is handled by Stripe, a PCI DSS Level 1 certified payment processor. We never receive, store, or have access to your full credit card number, CVV, or other sensitive payment details on our servers. When you subscribe to a service package, your payment information is transmitted directly to Stripe via their secure checkout page. Stripe stores your payment method for recurring subscription billing. You can update or remove your payment method at any time through the Stripe Customer Portal.

SMS Data Privacy

If you opt in to receive SMS/text messages from Grin's Irrigation LLC:

  • Your mobile phone number and SMS opt-in data will not be shared with third parties or affiliates for marketing or promotional purposes.
  • Your phone number is shared only with Twilio for the sole purpose of delivering the text messages you consented to receive.
  • You may opt out at any time by replying STOP to any message.

Cookies Disclosure

Our website uses cookies and similar tracking technologies:

  • Essential cookies: required for basic website functionality such as session management.
  • Analytics cookies: Google Analytics 4 and Google Tag Manager use cookies to collect anonymous usage data including pages visited, session duration, and device information.
  • Session storage: we use browser sessionStorage to temporarily store UTM tracking parameters and consent tokens during your visit. This data is automatically cleared when you close your browser.

You can control cookies through your browser settings. Disabling cookies may affect website functionality. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.

Use of Artificial Intelligence & Large Language Models

Grin's Irrigation LLC uses large language models (LLMs) and artificial intelligence technologies as part of our business operations. Your personal data, including but not limited to contact information, service details, and communications, may be processed by or referenced through LLM-powered tools for purposes such as:

  • Responding to customer inquiries via our AI chatbot.
  • Improving service recommendations and customer communications.
  • Internal business analysis and operational improvements.

We take reasonable steps to ensure that any AI or LLM tools we use handle your data in accordance with this Privacy Policy. By using our website and services, you acknowledge that your data may be processed by large language models as described above.

Security Practices

We implement reasonable administrative, technical, and physical security measures to protect your personal information from unauthorized access, alteration, disclosure, or destruction. These measures include encrypted data transmission (HTTPS/TLS), secure third-party service providers, access controls limiting employee access to personal data, and regular security reviews. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

COPPA Compliance

Our website and services are not directed to children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have inadvertently collected personal information from a child under 13, we will take steps to delete that information as promptly as possible.
